— SCAFFOLD HIRE TRACKING SOFTWARE —
Stop giving hire weeks away.
Every scaffold with its hire period and days remaining. Extra hire flagged the week it starts, priced in pounds per week, and billed instead of forgotten. Off-hires recorded so the clock stops on the right day.
01
Every scaffold, its hire clock, one screen
The Hire Tracker lists every active scaffold with its handover date, inclusive hire period and planned off-hire, each with a progress bar that runs green inside hire and turns red the day it tips over. Headline tiles show how many scaffolds are on hire, how many are within their period, how many are in extra hire, and what the extra hire is worth per week.
The hire clock starts from the signed handover certificate, so the dates are the job's real dates, not what got typed into a spreadsheet a week later.

02
Extra hire caught the week it starts
A scaffold that quietly runs past its planned off-hire is revenue you have already earned and will probably never invoice, and on a whiteboard nobody notices until the strike. Here the tracker flags it the day it happens and prices it: the extra-hire rate is on the scaffold, and the weekly total across every over-running job is on the screen in red.
Hire alerts warn you before scaffolds tip over, so the conversation with the client happens before the extra weeks stack up, not after.
03
Off-hire recorded, clock stopped
When the client calls it off, record the off-hire from the project, or let the site team send an off-hire request from the mobile app. The job is flagged for dismantle and the hire clock stops on the right date.
Returned scaffolds keep their history, days on hire and any extra-hire weeks, so the final account is an exercise in reading, not remembering.
04
Tracked hire becomes billed hire
Tracking is only worth doing if the money follows. Hire and extra hire are itemised from the quote onwards, extra-hire weeks feed the project's invoicing, and invoices push to Xero as drafts in one click. The Company Overview flags off-hired projects that still have money uninvoiced.
Because hire lives in the same system as quoting, claims and invoicing, a hire week can go from flagged to on an invoice without being re-typed anywhere.

Hire terms agreed at the quote, honoured to the strike
The inclusive hire period and the extra-hire rate per week are set on the quote, so the client signed up to the terms before the first tube went up. Those same figures follow the job through handover, tracking, claims and the final invoice.
One set of hire numbers across the whole job beats a quote in one file, a hire spreadsheet in another and an argument at the end.
More on quoting software →— WHAT SCAFFOLDERS ARE SAYING —
In the short time we've been using The Scaffold Software, the transition from juggling three to five different programs to one all-in-one platform has truly transformed how we do business. We've already been able to promote a supervisor from the tools to the office, a testament to just how simple the software is to use. The depth and simplicity of this platform is genuinely transformative for any scaffold business, no matter the size.

Hire tracking questions, answered
How does hire tracking work?
Every scaffold gets its hire clock started by the handover certificate. The Hire Tracker then shows each one against its inclusive hire period: handover date, planned off-hire, days on hire, and a progress bar that runs green inside hire and turns red the day it tips into extra hire. Filters split the list into within hire, extra hire and returned.
How do I know what extra hire is worth?
Each scaffold carries its extra-hire rate, and the tracker totals the weekly extra-hire value across everything currently over its inclusive period, in pounds per week. You see at a glance how many scaffolds are in extra hire and what that should be earning, rather than finding out when the kit finally comes back.
How are off-hires recorded?
From the project in the office, or the site team can send an off-hire request from the mobile app. Recording it flags the job for dismantle and stops the hire clock on the right date, so the final account reflects what was actually on hire, not what someone remembered.
Does the extra hire actually get billed?
That is the point of tracking it. Extra-hire weeks feed your invoicing: hire and extra hire are itemised on quotes and payment claims, and invoices push to Xero as drafts in one click. The Company Overview also flags off-hired projects that still have money uninvoiced, so nothing is quietly written off.
Is the hire period set when we quote?
Yes. The quote carries the inclusive hire period and the extra-hire rate per week, so the client agreed the terms before the scaffold went up. The same figures follow the job through handover, tracking and billing, with no separate hire spreadsheet to keep in step.
